Job Description The Receptionist is responsible for providing clerical support, coordinating all business functions between the residence and the corporate office and acknowledging all inquiries at the reception desk in accordance with established procedures, and as may be directed by the Executive Director and/or General Manager. Assist members, guests and visitors, and respond appropriately to all inquiries about the club. Answer telephones, record and channel information, direct calls to appropriate individual department, relay messages in a timely, clear, polite, concise and professional manner. Make initial record of all cash received, as directed. Receive all employment applications. Type general office correspondence. Assist with cash transactions of the club, the members and the public. Maintain a current file/listing of members by name and membership number, emergency phone numbers of personnel, department extensions, key personnel, etc. Assist with administrative duties and operate office equipment as directed. Maintain office supplies for Front Desk. Maintain confidentiality of all pertinent member’s information to assure member’s rights are protected. Sort, distribute, and route incoming mail to appropriate residents, departments, and / or personnel. Give clients tours as necessary and provide general marketing information as directed to inquiring parties. Assist with general clerical and administrative functions. Maintain a safe and secure environment for all staff, members and guests, following established safety standards as outlined in the Safety First manual. Promote World Gym Fitness Centers in a positive manner and effectively communicate the organization's values to members, visitors, co-workers and the community. Encourage teamwork through cooperative interactions with co-workers and other departments. Support a positive and professional image through actions and dress. Responsibilities in case of disaster or emergency Handle incoming calls and assist in communication functions. Maintain current roster of relief personnel in all departments in co-ordination with other department heads. Perform all other duties as assigned. Attends to the smooth running of the Spa, Salon, Beauty Parlor, Massage, Classroom and any other facilities, and receives and maintains the schedule for all current and future club appointments. Booking Spa, Salon, Beauty Parlor, Massage, Classroom and any other required reservations or appointments through reservations Maintain complete knowledge and comply with World Gym Fitness Centers and departmental policies and procedures Greet each guest with a warm welcome and fond farewell Accommodate all members request expediently and courteously Handle guest complaints by following the instant guest pacification procedures and insuring guest satisfaction Successfully complete the training / certification process as required Notify Front Desk Supervisor with all maintenance needs Assist Fitness Center, Spa Juice Bar, Salon & Spa when needed Perform any task deemed necessary by management Obtain department keys and secure security of such Access all functions of computer system in accordance with department specifications Legibly complete requisition for additional supplies/materials and submit to Front Desk Supervisor Review membership list and be familiar with member’s names. Maintain cleanliness of club Provide Front Desk Supervisor with assistance in training new staff Answer departmental phone using proper telephone etiquette Contribute in promotions for club and following through to ensure success Overall operations of front desk
